Billing
Billing is where your clinic creates, sends, and tracks invoices and payment requests.
It gives your team a simple way to request payment for an unsettled bill — whether it's related to a patient, a pet parent, a service, or another person or organisation.
Billing at a glance
The Billing dashboard gives you a quick view of your outstanding invoices.
You can see:
Total invoices
Paid
Outstanding
Overdue
Each invoice shows its current status so your team can quickly see what has been paid and what still needs attention.
Create an invoice
Select New Invoice to create a payment request.
Start by entering who the invoice is for.
This can be:
A patient
A pet parent
Another individual
A company or organisation
Any other recipient
You can then add:
Due date
Description
Quantity
Unit price
Discount
Notes
Once everything is entered, select Create Invoice.
Invoice details
Each invoice contains the information needed to understand what is being charged.
This includes:
Invoice recipient
Description
Quantity
Unit price
Discount
Total amount
Due date
Payment status
Invoices can move between statuses such as Paid, Outstanding, and Overdue.
Payment links
Every invoice can generate a payment link.
Select Copy Payment Link and send the link to the recipient through WhatsApp, email, or any other channel you use.
The recipient can open the link and complete the payment online.
Once payment is completed, the invoice automatically reflects the updated payment status.
This means the clinic doesn't need to manually confirm whether a payment has been made.
Payment tracking
Billing keeps the invoice and its payment status connected.
You can quickly see whether an invoice is:
Paid
The invoice has been settled.
Outstanding
Payment is still due.
Overdue
The due date has passed and payment has not been completed.
Payment activity also flows into the clinic's Wallet, giving you a broader view of revenue and money moving through smollOS.
Export as PDF
Invoices can be exported as PDFs.
This is useful when you need to download, print, archive, or share a formal copy of an invoice.
Not just for patients
Billing isn't limited to patient cases.
You can create an invoice for anyone who needs to make a payment to the clinic.
That could be a pet parent settling a balance, a company paying for a service, or another recipient entirely.
Create the invoice.
Copy the link.
Get paid.
Billing vs Wallet
Billing is about what is owed and collecting it.
Wallet is about what has actually moved through the clinic financially.
Together, they keep invoices, payments, and revenue connected across smollOS.
